Request for Proposal (RFP) for Verkada System Installation and Support City of Arlington, Washington RFP Number: IT-2005-01 Release Date: 4-10-2025 Proposal Due Date: 5-01-2025 by 3 PM Overview The City of Arlington seeks to establish an as-needed unit services contract with a qualified vendor to provide installation and maintenance services for Verkada systems. This includes managing over 90 cameras, access controls, environmental sensors, alarms, and intercom systems. Each project will be defined by a specific scope of work and a task order will be issued prior to commencing any service. The contract duration is 3 years with a not to exceed amount of $100,000. Scope of Work Installation Services: Perform installations that align with Verkada Best Practice Partner Installation Guide. Integrate new systems with existing infrastructure as necessary for each task order. Installation of wiring, panels, readers and equipment needs to follow industry standards and best practices. Maintenance and Support Services: Execute regular maintenance as outlined by Verkada guidelines on an as-needed basis. Address repair and technical support needs per task order requirements. Emergency and non-emergency responsive services detailed in per-project task orders. As-Needed Service Execution: Each engagement will require the issuance of a task order. Specific task orders will outline scope of work, project requirements, timelines, and deliverables. Vendor Qualifications Proven experience in installing and supporting Verkada systems. History with municipal or similarly scaled security infrastructure projects. Preferred: Verkada-certified professionals or equivalent accreditation. Submission Requirements Company Background Provide company details, including number of years in business, history and experience with Verkada systems. Technical Proposal Describe the approach to delivering as-needed services with task-order specificity. Please be as elaborate as possible. Cost Proposal Include a detailed breakdown of costs applicable to unit services on task orders. This is to include hourly pricing for installation, and maintenance of non-warranty items. Include preventive and corrective maintenance costs. References and Case Studies Include relevant project references involving Verkada equipment in a public sector setting. Evaluation Criteria Vendor’s understanding and adaptability to as-needed service nature. Technical capability and project management approach for task orders. Competitive cost structure and transparency. Knowledge of Washington State bidding practices and processes. Client satisfaction on past similar engagements. Contract Terms The contract will facilitate an on-call relationship. Total contract value not to exceed $100,000 over three years.
